Project Manager

COEUS is currently recruiting for a Project Manager for Pharmaceutical Marketing. Minimum 3-5 years’ experience in a promotional agency or medical communication agency.

About the Job

The Project Manager provides day-to-day client account support for management of project delivery and other administrative needs. This role is responsible for a high volume of tactical projects and provides support to the Account Director and Vice President, Client Services, to meet business needs. The Project Manager role will also manage various financial aspects of each project.


Client and Project Management

  • Creates and manages project plans and timelines for client initiatives within multiple workstreams
  • Works with project lead in managing all aspects of projects from conception to completion
  • Addresses and responds to client requests, with support from the Account Director
  • Supports the financial and project management of assigned projects to ensure successful execution and outcome, including project reconciliation
  • Provides task-based project management support, assisting wider delivery teams in meeting day-to-day tasks, including project routing, timeline development and maintenance, and budget/hours management/monitoring
  • Triages competing requests and finds solutions for capacity and resource issues
  • Raises swift awareness to proactively head off issues that put projects at risk for staying on time and on budget and maintains our standards of quality and value
  • Coordinates submission preparation and conducts follow-up as necessary
  • Reviews revision requests to ensure they fit with the needs of the project; coordinates with delivery teams for execution
  • Owns and maintains internal/client status sheet
  • Follows up on action items via email post meeting
  • Sends deliverables to client/key leaders
  • Assists as day-to-day contact with client
  • Is fully trained on client systems and dedicated to compliance in use of these systems
  • Monitors projects to confirm milestones and deliverables are met
  • Creates and manages project folders on SharePoint for all projects


  • Complies with all COEUS corporate governance requirements, such as project information documentation and retention and compliance training
  • Complies with any and all client-required compliance requirements, such as necessary trainings or certifications


  • Coaches/mentors junior team members as needed

Business Development

  • Participates in business development activities, including RFP responses, pitches, and deck content
  • Acts as brand steward for our client customers, with basic understanding of the market, knowing when to ask the right questions, and working with senior-level account team to solve strategic and delivery issues


  • Uses and is compliant with required company systems and adheres to best practices and standard operation procedures as trained
  • Given the nature of the work, at times be asked to be flexible and to offer extended support outside of normal working hours to meet the business needs. This may also include weekend work
  • Performs other related duties as assigned


Skills and Abilities:

  • A performance-driven individual, with a strong sense of urgency, exceptional organizational credibility, and deep understanding of the business
  • Demonstrated knowledge and application of skills in all relevant components of project management, including management of scope, time, cost, quality, integration, influence and negotiation, communications, risk, and scenario planning across all project management focus areas (initiating, planning, executing, monitoring and controlling, and closing R&D projects)
  • Demonstrated ability in relevant soft skills, including change management, continuous improvement, conflict resolution, and consensus building
  • Proven ability to communicate effectively at all levels of the organization
  • Proven ability to manage multiple priorities and work in a cross-functional team
  • Flexible and able to multitask; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions; demonstrated resourcefulness in setting priorities and guiding investment in people and systems
  • Strong understanding of all aspects of developing a pharmaceutical; the manufacturing requirements and some knowledge of the pharmaceutical industry, regulations, and requirements are important in this role
  • Analytic and decisive decision maker with the ability to prioritize and communicate to staff key objectives and tactics necessary to achieve organizational goals
  • Strong written and verbal communication skills; a persuasive and passionate communicator with excellent public speaking skills

Education and Experience:

  • Bachelor’s degree from a four-year college or university or experience in lieu of degree
  • Minimum of 3 years experience in the agency environment performing project management/coordination duties
  • Proficient in MS Office Suite
  • Proficient in Veeva PromoMats

Physical Requirements:

  • Ability to travel
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
